Who We Are

TMS Solutions Group LLC (“TMS,” “we,” “us”) is a Florida company that sets up and operates AI tools for local businesses, including website answer agents, scheduling, missed-call follow-up, reputation, loyalty and reactivation tools, and related services. This policy covers our website, our own communications, and the services we provide to business customers.

Information We Collect

We collect information you provide directly to us, including:

• Contact information such as your name, phone number, and email address when you submit a form, book a call, or request a follow-up
• Business information such as your company name, website, industry, and the challenges you describe when you talk with us or use our chat assistant
• Communications you send us, including website chat messages, emails, text messages, and call notes
• Order and billing details when you purchase a service. Payment card details are entered with and processed by our payment processor; we do not store full card numbers

We also collect publicly available business contact information, such as a business email address or phone number published on a company website, to contact businesses about services that may be relevant to them. You can ask us to stop at any time (see “Email Communications” below).

We automatically collect certain technical information when you visit our website, including your IP address, browser type, pages visited, and the date and time of your visit.

How We Use Your Information

We use the information we collect to:

• Respond to your inquiries, schedule calls, and follow up on service requests
• Provide, set up, support, and bill for the services you order
• Send you text messages only where you have given your consent, as described in our SMS Terms
• Send business email about our services, with an unsubscribe option in every message
• Improve our website, services, and communications
• Comply with legal obligations and keep records of consent and opt-out requests

We do not sell your personal information to third parties.

SMS / Mobile Messaging

If you choose to receive text messages from TMS Solutions Group LLC, for example by checking the optional SMS box on our contact form, you may receive messages related to our services, your inquiry, appointments, or follow-up communications. Providing a phone number on its own is not consent to receive text messages, and consent is never required to buy anything from us.

Message frequency varies. Message and data rates may apply. You may opt out at any time by replying STOP to any message. Reply HELP for assistance. Full details are in our SMS Terms.

Messaging and Data We Handle for Business Customers

When a business uses a TMS service to communicate with its own customers (for example a website answer agent, missed-call follow-up, or a loyalty and reactivation program), that business is the sender of those messages and decides who it contacts. TMS processes that information on the business’s behalf to provide the service.

• Text messages sent through a business’s program are sent only to people who gave that business their consent, and only after that business’s messaging has been registered and approved where carriers require it
• Each program identifies the business by name, honors STOP and HELP, and keeps opt-outs on that business’s suppression list
• We do not use a business’s customer information for TMS’s own marketing, and we do not share it with other businesses
• The business’s own privacy policy governs how it uses its customers’ information. Questions about a specific program can be sent to that business or to us

Email Communications

Every marketing or business-development email we send identifies TMS Solutions Group and includes a way to opt out. If you reply “unsubscribe” or use the unsubscribe option, we will stop sending you those emails and keep your address on a suppression list so you are not contacted again. Service and account emails related to something you ordered may still be sent.

Cookies

Our website may use cookies and similar technologies to keep the site working and to understand how it is used. You can set your browser to refuse cookies, but some parts of the site may not work properly.

We do not use cookies to serve targeted third-party advertising.

Service Providers

We use service providers to run our website and services. They process information on our behalf under their own privacy and security terms, including:

• Anthropic (Claude) and other AI model providers: power chat assistants and other AI features. Conversations and inputs are processed to produce responses
• Twilio: sends and receives text messages and calls
• Supabase: data storage and authentication
• Resend: delivers service and account emails
• Instantly: sends and manages business-development email
• Stripe: processes payments
• Cal.com: appointment scheduling
• Cloudflare: website delivery and security
• Google Fonts: loads web fonts; Google may receive limited technical data

We are not responsible for the privacy practices of third-party websites we link to. We encourage you to review their policies.

Data Retention and Security

We keep information for as long as needed to provide our services, keep business records, and meet legal obligations. Consent and opt-out records are kept so that opt-outs continue to be honored. We use reasonable administrative and technical safeguards, but no system is completely secure.

Your Choices

• Reply STOP to any text message to stop texts, or use the unsubscribe option in any email
• Ask us to access, correct, or delete your information by emailing [email protected]. We may keep records we are required to keep, including opt-out records

Children

Our website and services are intended for businesses and adults. We do not knowingly collect information from children under 13.

Changes to This Policy

We may update this policy. The date at the top shows when it was last changed.
